Job Title and Description

Trump University is seeking an Program Coordinator to oversee event programs from enrollments through and including, the delivery of the event program. This position coordinates functions occurring at the event program, delivery of materials and ongoing communication to the organization to ensure attendee satisfaction. This position is responsible for completion of paperwork in recording attendance as well as paperwork to finalize sales transactions. This position provides that attendee’s needs are met in a timely fashion and functions as the liaison between the attendee, instructor, sales coordinator, hotel faculty and Trump University. The Program Coordinator represents Trump University and its staff in a positive and professional manner. This is an associate’s position reporting to the Director of Operations.

Job Functions

  • Post-event: collation and reporting of event related statistics and costs, conduct. Customer satisfaction surveys, progress timely settlement of invoices.
  • Project: Assistance to Department management with ad hoc projects, reporting and analysis, as may be required.
  • Reporting: Completion of all data on Corporate Events Database - pre event and post event.
  • Travel:  Weekend (Thursday - Sunday) travel to staff event will be required.
  • Pre-event: venue search, detailed planning/scoping of event, budget preparation and cost control, liaison with event host, clients and speakers, distribution and receipt of event related information, update event website, liaison with internal departments for support services and supplies.

Hotel Planning:  The objective of hotel planning is to ensure a smooth transition from the booking to onsite event. In addition, the Event Planner seeks to build rapport with the hotel property, ensure contract compliance and maintain clear communication with hotel staff.

  • Work with Event s Manager during the hotel selection process to book hotel, event space and staff sleeping rooms. Responsible for search, detailed planning/scoping of event, budget preparation and cost control
  • Contact with either the sales or catering representative upon receipt of contract, review details and coordinate time to meet for pre-con on hotel property.
  • Review approved banquet orders to confirm event needs.
  • Coordinate dates with hotel contact so staff rooming list is received in a timely manner.
  • Complete estimated balance and credit card authorization. 

Event Materials:    Ensure attendees, staff and Instructors receive complete package of materials.

  • Pack materials needed using checklist and ship to event location prior to event.
  • Confirm shipping and receiving requirements with hotel prior to event.
  • Complete surveys by entering instructors name, location and staff prior to event.
  • Complete name badges prior to event.

Event Logistics:    Schedule pre-event conference call with team members on Tuesday prior to event.

On Property Duties: The objective is to make attendees experience at the event a professional, enjoyable and worthwhile educational experience. In addition, the goal is to ensure the instructors and staff receive the support they need while at the event. Further, it is the Event Coordinators duty to monitor and enforce compliance by the hotel of the signed contract.   

After Program: Close the event and finalize all outstanding issues with students, the hotel and accounting.

  • Proven record of achievement in customer service, sales or marketing. 
  • Thorough understanding of effective communication.
  • Ability to sell and motivate attendees on the value of event program.
  • Ability to effectively manage people in a classroom environment.
  • Ability to focus on a variety of tasks simultaneously.
  • Knowledge of computers and the ability to adapt to software packages.
